Updates to Mileage, Expenses and Non-Teaching Pensions

Mileage Rates Update

As you may be aware, the Government has increased the tax-free Approved Mileage Allowance Payment (AMAP) rate for cars and vans to 55p per mile for the first 10,000 business miles, with effect from April 2026. All other vehicle rates, and the rate applicable to mileage over 10,000 business miles, remain unchanged.

While organisations are not required to adopt the revised rate, Heartwood Learning Trust recognises the increasing costs associated with business travel. We have therefore decided to implement the new rate and backdate payments in line with the Government's effective date.

The updated mileage rate will be reflected in your July salary payment, which will include:

  • All approved mileage claims submitted for June and/or
  • Any applicable backdated mileage payments relating to claims submitted for April and May.

To ensure backdated payments can be processed, please make sure all mileage claims up to and including 30 June 2026 are entered into the system and ready for manager approval by 5 July 2026.

If you use the EduPay website rather than the mobile app, please remember to click "Submit" once your claim has been entered to enable manager approval.

Reminder – Expenses Policy

In line with our Expenses Policy, all mileage claims should be submitted for processing within one month of the end of the month in which the expenditure was incurred.

Employees must also complete a Mileage Claim Declaration Form (available from your Line Manager or Principal) before submitting their first mileage claim. The form must be completed again if any relevant details change and must be renewed annually each September.

LGPS Pension Update (Non-Teaching Staff)

The Local Government Pension Scheme (LGPS) has notified us of changes to the scheme arising from the Access and Fairness Regulations. As part of their statutory requirements, they have asked employers to make scheme members aware of these updates.
